One workflow, step by step
An example after-hours enquiry workflow in n8n, the way we hand it over. Claude reads and sorts. Fixed rules decide what sends.
Example builds, described the way we scope them. They are not client case studies. We only publish those with the client's written OK.
- Trigger: a website enquiry arrives after 5pm.
- Claude step: a fixed prompt asks for three labels (urgent, routine, not a job) and pulls out name, suburb, phone and job type as structured fields.
- Rule step (no AI): if the label is urgent and the job type is on your emergency list, text the on-call phone now.
- Template step: routine enquiries get your set acknowledgement with a booking link. The AI does not write it and nobody gets a price.
- Job system: a lead is created in ServiceM8 through its API, with the original message attached.
- Log: every run is recorded. A failed run emails the office so nothing drops silently.

How is a workflow different from an AI agent?
Agent is marketing language. A workflow is a concrete chain: trigger → AI draft/classify → write to a tool → notify a human — which you can open and fix.

How much does Claude Team cost in Australia?
Claude Team Standard is US$25 per user per month billed monthly, or US$20 on annual billing, with a two-seat minimum. That is roughly AUD $30–38 per person before GST at a 1.50 convert. Premium seats (more usage, Claude Code) are US$100–125. Enterprise is quote-only. Confirm on Anthropic’s site before you buy.
Do I need a Team plan or is Pro enough for five staff?
Five staff on personal Pro or Plus still means five personal accounts and no admin when someone leaves. For a company, ChatGPT Business or Claude Team (both from two seats) is the right shape. Pro is fine for one owner testing.
Can I use ChatGPT with client data in Australia?
Not on a free personal account, and not by pasting files into someone else’s login. Use a company-owned Business or Team plan, turn off training where the vendor allows, and keep quotes and invoices behind a human. This is hygiene, not legal advice.
Is Claude better than ChatGPT for writing quotes?
Claude is often stronger on long, careful documents. ChatGPT is often where the team already lives. We build the Skill or Custom GPT in the tool they will actually open in month three.
What happens to my Skills if I stop paying?
Claude Skills and Custom GPTs are files and instructions you should hold copies of. If you leave a vendor, you still have the documents. Workflows in n8n/Make/Zapier sit in your automation account. We do not lock you into a black box we own.
Will my staff actually use this after the first month?
Only if it sits where they already work and saves a job they hate. That is why we start with one bottleneck, train the people who do the work, and do not automate money without approval.
