Set up Claude or ChatGPT for business by putting a paid team plan under company ownership, loading real context into Projects or knowledge files, and writing a one-page rule for what staff may paste — before you build fancy automations.
Step 1 — Pick a home (or two)
If half the team already uses ChatGPT Plus personally, Team/Business is the path of least resistance. If you want Claude Skills and long-document work, start Claude Team. Mixed teams often run both with clear “use this for that” notes.
Step 2 — Company-owned seats
Admin should be a business email, not one staff member’s personal Gmail. When that person leaves, you should still own the workspace, prompts and billing.
Step 3 — Context that is actually useful
Load service lists, suburb coverage, tone examples and FAQs. Do not dump entire client databases into a knowledge file “just in case”. Minimum useful context beats a junk drawer.
Step 4 — Privacy Act hygiene (practical, not legal advice)
- No TFNs, full payment card data or health records in prompts
- Prefer paid plans and check vendor data-training toggles
- Keep sensitive work in systems you control; use AI for drafts you review
- Tell staff what happens if they paste a client list into free chat
Step 5 — Train like adults
Thirty to sixty minutes beats a day of theory. Show three real tasks, the approved GPTs/Skills, and the escalation path when the model is unsure.

A one-page paste policy you can actually issue
- Allowed: public web copy, your own price list, anonymised job notes, approved FAQs
- Ask first: client contracts, staff HR notes, anything with a home address plus a name
- Never: TFNs, full payment card data, health records, passwords, other people’s ID scans
- Home: company Claude or ChatGPT workspace only — not a free personal account on a phone
