Does Microsoft 365 Actually Back Up Your Business?
Microsoft 365 is resilient, but it is not a full backup of your business data. Microsoft protects its platform from infrastructure failure. It does not replace a backup that recovers from accidental deletion, ransomware, rogue staff, or a broken retention setting. For most Northern Beaches and North Shore SMEs, that gap is the difference between a bad afternoon and a bad quarter.
This guide answers the question owners and IT people ask constantly: if we pay for Business Premium, are we backed up?
What Microsoft does protect
- High availability of Exchange Online, SharePoint, OneDrive and Teams services
- Geo-redundant storage and platform-level resilience
- Recycle bins, versioning and retention features when configured correctly
- Microsoft's own recovery options under service SLAs — not the same as your restore plan
What Microsoft does not automatically do for you
- Unlimited point-in-time restore after long silent corruption or mass delete
- Protection against ransomware or compromised accounts that wipe cloud files over days
- A tested recovery runbook with RTO/RPO your board understands
- Independence from the tenant if identity itself is locked or ransomed
Recycle bin and version history help — until retention windows expire, holds are wrong, or nobody notices damage for weeks.
Questions that matter
- If a mailbox is emptied today, how far back can you restore, and who does it?
- If OneDrive or SharePoint files are encrypted, can you roll back cleanly?
- When did you last test a restore — not just see a green backup job?
- Are MFA and Conditional Access strong enough that identity is not the weak link?
A practical backup posture for SMEs
- Dedicated Microsoft 365 backup covering Exchange, OneDrive, SharePoint and Teams as used
- Retention long enough for slow-burn incidents (weeks to months, not days only)
- Documented who can restore and under what approval
- At least one restore test per year on your disaster plan — see our DR one-pager
- Identity hardening: MFA everywhere, least privilege, watch suspicious sign-ins
eWEB TEC helps Northern Beaches and North Shore businesses set this up as part of managed business IT.
FAQ
Is Microsoft 365 Backup enough by itself?
It can form part of a design, but you still need correct scope, retention and proven restore tests.
Do small teams need third-party Microsoft 365 backup?
Often yes — one deleted client folder or compromised mailbox can cost more than the backup tool.
Does backup replace antivirus?
No. Backup and endpoint or identity security work together for ransomware resilience.
How often should we test restores?
At least annually for a full mail or files restore — more often if you handle critical client data.
